This  Privacy Policy (the “Privacy Policy”) is intended to describe how the Women in Chess Foundation ("we," "us," or "our") is dedicated to maintaining the privacy and security of personal information in accordance with the US-EU Data Privacy Framework. It also explains how the Women in Chess Foundation collects, uses, discloses, and processes information from visitors and users of womeninchess.com and personal information collected during our Advocacy Initiative program. Each time you use our sites, the current version of this Privacy Policy will apply and we are entitled to change this Privacy Policy from time to time without prior notification. Please note that this Privacy Policy applies only to the womeninchess.com website, and not to the websites of any other organizations to which we may link or that may link to us.

As part of our Advocacy Initiative program, we may collect the following types of personal and anonymized information from participants: name, email address, phone number, location data, incident information (both personal and anonymized). For the Advocacy Initiative, we strive to be as survivor driven as possible. Therefore, you may choose to remain completely anonymous if you wish and can ask us at any time to delete information about you.

When you submit information to this website via webform, we collect the data requested in the webform to track and respond to your submissions. We share this information with Squarespace, our online store hosting provider, so that they can provide website services to us. We also share this information with Google Drive for storage.

 

Outside of the Advocacy Initiative, as this site is powered by Squarespace, this website collects personal data to power our site analytics, including information about your browser, network, and device, web pages you visited prior to coming to this website, and your IP address.

This information may also include details about your use of this website, including clicks, internal links, pages visited scrolling, searches, and timestamps.

This information is shared with Squarespace, our website analytics provider, to learn about site traffic and activity.

 

3. Lawful Basis for Data Processing

We process personal information under the lawful basis of legitimate interests, as it is necessary for the oversight and management of the Advocacy Initiative program. We also process personal information in accordance with the US-EU Data Privacy Framework.

We may disclose your information to courts, law enforcement, governmental or public authorities, tax authorities, authorized third parties, or other Members, if and to the extent we are required or permitted to do so by law or where disclosure is reasonably necessary.

The personal and anonymized information collected is used for the following purposes: providing advocacy services and support to participants, enhancing and improving our services, responding to inquiries and requests, analyzing program trends for improvements, complying with legal obligations.

Personal information collected as part of the Advocacy Initiative program will never be disclosed to third parties, except as required by law. It is imperative that we emphasize that those who choose to utilize the Advocacy Program will never have their information given out to national chess federations, chess clubs or the International Chess Federation without their explicit consent. Any information received or recorded by WICF advocates are explicitly for the purposes of ensuring a safe program for all those who choose to take part in it.

Participants have the following rights regarding their personal information: Access their personal information, rectify inaccurate or incomplete data, withdraw consent (subject to legal obligations), request erasure (subject to legal obligations) and lodge complaints with a data protection authority.

 

11. Changes to Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. The effective date will be revised accordingly.
